How to Connect 3cx Phone to Autotask

How to integrate a 3CX phone system with Autotask so an incoming call automatically opens the correct ticket screen.

hello in this video I'm going to talk about the 3cx integration with a toask this is going to show you what will happen when a customer rings in it's going to automatically open up a ticket screen with the customer details against that ticket so let's go and have a look at how this works inside autotask we're going to leverage a command called the execute command API so from with inside your order task help file if you simply type execute command API it will come up with a screen that shows you how to build the URL for the execute command we're going to use this command inside our three CX application so that when we call in it's automatically going to go and load this up so let's have a look at how this works so there's two ways we can do this we can either open up the ticket screen or we can open up the new account screen in this particular instance I'm going to open up the ticket screen so in order to use the execute command which is basically coming from here it's showing us how to use essentially that plus that Plus either the account ID or the telephone number and build a URL from there so all we're doing is we're saying to open up a new ticket screen based on uh the inbound CLI use we're simply going to use https autotask.net using this execute command API and then in here we're going to tell it to open up the new ticket screen and we're going to tell it to use the phone number of whatever the caller number that calls in now you'll see on this URL here I have a ww hash this hash is you need to make sure that you put whatever number your domain name information is inside aask so if you're using a WW4 or WW1 then you need to make sure that you put that information in there how do you find that very simple just by clicking on the autotask once you've logged in you can actually see up here um this is giving me in my case it's ww16 okay so let's go and have a look at how this would work inside 3cx so effectively we're going to open up the 3cx client we're going to click these two little cogs on the uh bottom right hand corner and then we're going to click on advanced settings and under Behavior you can see here we have the ability to launch an external application so what we're going to say is under here we're going to say you know when a call comes in we want to launch an executable in my case I'm launching Ms Edge but of course you could do this with chrome or Firefox or whatever your browser choices you're just going to launch up the browser and then what we do is it's asking us for the parameter that we send and this is the parameter that I showed you earlier on so you can see in my case it says autotask.net um or aask uh ww6 alask Donnet um and then right at the very very end you can see we've got this percent call and number percent and I will stick this information down here into the uh the the notes at the bottom of this video so what we can then also do from here is is we can say you know that for example we want this to be um to be opened up when um you know when when it's connected so this says notify when connected we could change this to notify when ringing but obviously that would then pop up the ticket screen even when the the phone is actually ringing but we obviously want it only when it's being connected when somebody's actually answered so what I'm going to do for the time being is I'm actually going to just CL close down my um my 3cx client um and I'm just going to go and relaunch it again uh only because sometimes I just have some problems with it it trying to connect when I've made some changes to it so if I go into the 3cx phone now what you'll actually see happen here is once I've got my client loaded in I'm actually going to make a call directly into uh into my company phone number so you can see there's my 3cx phone loaded up and I'm simply going to go ahead and call our number and simply when I answer this and it says connected what you will basically see happen is it now opens up Microsoft Edge and you can see it's actually calling up that new ticket window and in here it has the name of the account and it's opened it up directly knowing that this was the phone number that's called in and it's done that very very simply because against my account number if I go and have a look at my contact details so if I actually just use my own contact details for example in here you will see that the phone number I called in from was my mobile phone number and this is what it's actually recorded against that telephone number and it really is as simple as that so I hope that's helped and I look forward to seeing you on the next video thank you for watching
