A lesser-known Autotask setting that makes the summary notes field optional on ticket time entries, instead of the usual compulsory requirement.
hi everyone in this video i'm going to talk about a really cool feature in autotask the ability to make the summary notes field on a ticket time entry not compulsory if that is of interest to you then this video is for you [Music] hi everybody chris tim here from zandela consulting in this video i'm going to talk about how you can make the summary notes field on a ticket time entry not compulsory for a long time this has been something in order task that's always been a compulsory or a required field so that means when you've entered time on a ticket you've always had to go ahead and enter in some summary notes well there's actually a setting in auto task which very few people actually know about that you can turn this feature off so let's go take a look at how this works so the very first thing that we want to do at this point is we want to go ahead and and show you where this feature is or actually what i'm talking about so if we look at a ticket and we come into the tickets time entry window most of the time on your system by default you will see that the summary notes field is is required so you would have to enter something in there in in order to change or do anything with the ticket so you would actually have to have something entered in there and then whatever you put into this into the internal notes is for your eyes only now i see this so many times on consulting courses people say you know i just want to be able to enter time against the tickets and maybe put in internal notes but i don't want anything in the summary notes i don't necessarily want anything to go to a customer well as you can see on here there's no little star next to my summary notes field so i could simply if i really wanted to i could just go in here and add that i've done five minutes of time um add this in progress and add nothing to either of these two fields and save and close and the ticket is now saved or the time entry is now saved against this with no notes either summary notes or internal notes so how do we go ahead and do this well actually it's very very straightforward so from within side auto task what you very simply want to do is click on the admin module then you want to click on system settings and you want to go to the service desk and all the way down you can see it says require user to enter summary notes when entering ticket time okay and it has exactly the same thing when it comes to projects as well um you know and to require user to enter summary notes when entering project time so if you simply uncheck these and click the save button what you will have to do is you will have to log out and log back in again but as soon as you do that you will then see that those fields those summary note fields will then be made as as not required fields within the ticket time entry so one of the nice things about this when you actually save it you'll see in here now we can just save this it still saves against what contract it's against um still captured that it's done five minutes of time but there's just no notes against it so this might be something that you guys can build into your workflow so i really hope that that was useful to you if it was i'd really really appreciate it if you could uh hit the like and subscribe button so that i can continue to make more of these videos really appreciate it and thank you very much for watching and we'll see you on the next video [Music] you
